VOXEO se opera desde Estados Unidos y se ofrece a alumnos de toda América y de Europa. Eso significa que no nos rige una sola ley: se nos aplican, según dónde vivas, el Reglamento General de Protección de Datos europeo, la LGPD brasileña, la legislación de protección de datos de tu país en América Latina, la PIPEDA canadiense y las leyes estatales estadounidenses.

No aplicamos un nivel de protección distinto según tu país. Damos a todos los alumnos los mismos derechos —acceso, corrección, supresión, portabilidad y oposición— vivas donde vivas, porque mantener varios niveles sería peor para ti y más frágil para nosotros.

En la mayoría de los casos VOXEO actúa como ENCARGADO DEL TRATAMIENTO por cuenta de la academia o el centro que te inscribió: es esa institución la que decide qué se evalúa y quién participa, y quien actúa como responsable. VOXEO trata los datos siguiendo sus instrucciones. Cuando alguien contrata VOXEO directamente, sin una institución de por medio, VOXEO es el responsable.

Qué datos tratamos

DE PERSONAL DEL CENTRO: nombre, correo electrónico, rol e idioma de la interfaz.

DE ALUMNOS Y CANDIDATOS: nombre, correo electrónico, el idioma que estudian y su nivel; las respuestas que dan en evaluaciones y prácticas; el nivel MCER resultante y los planes de mejora derivados.

GRABACIONES DE VOZ Y TRANSCRIPCIONES: cuando hablas en una evaluación, en una práctica de pronunciación, en una entrevista o en una defensa oral, se graba tu audio, se transcribe y se puntúa automáticamente la pronunciación, la fluidez y la prosodia. El audio se guarda en almacenamiento privado y solo se reproduce mediante enlaces firmados y temporales.

CÓMO SE ESCRIBE UNA RESPUESTA ESCRITA: en las defensas escritas se registra cuándo apareció el primer carácter, cómo fue creciendo el texto, cuántas correcciones hubo y cada intento de pegar que el formulario rechazó. NO se guarda la secuencia de teclas ni los borradores que borraste: solo la forma en que el texto fue apareciendo. Se te avisa de esto en la propia pantalla antes de escribir.

DOCUMENTOS QUE SE SUBEN: trabajos entregados, exámenes corregidos a mano y fotografías de páginas, junto con el texto que se extrae de ellos.

WHATSAPP, SI LO ACTIVAS: tu número de teléfono, el registro de tu consentimiento y de su retirada, y el registro de los mensajes enviados y su estado de entrega.

DATOS TÉCNICOS: los registros normales de un servicio web (dirección IP, tipo de navegador, errores), usados para operarlo y protegerlo.

Lo que NO hacemos

No usamos tu acento, tu dialecto ni ninguna característica protegida como señal de medición. Todas las comparaciones son contigo mismo, con tus propias sesiones anteriores, nunca con una norma poblacional ni con otros alumnos.

No detectamos fraude ni plagio, y no ejecutamos ningún detector de texto generado por IA. La plataforma mide cómo se produjo una respuesta y se lo enseña a un profesor; la conclusión la saca esa persona.

No tomamos decisiones automatizadas con efectos jurídicos o similarmente significativos sobre ti. Ninguna nota, ninguna aprobación y ninguna acusación las decide la plataforma.

No vendemos tus datos personales, ni los cedemos a terceros con fines publicitarios.

No usamos tus grabaciones ni tus textos para entrenar modelos de inteligencia artificial propios ni de terceros.

Por qué tratamos estos datos

EJECUCIÓN DEL CONTRATO con la institución que te inscribió, o contigo si contrataste directamente: es lo que permite evaluar, generar el plan y mostrar los resultados.

INTERÉS LEGÍTIMO en operar, asegurar y mejorar el servicio, y en prevenir abusos.

CONSENTIMIENTO para los mensajes por WhatsApp. Es específico, se registra con fecha y hora, y puedes retirarlo en cualquier momento respondiendo BAJA a cualquier mensaje. Retirarlo no afecta al resto de tu uso de la plataforma.

CUMPLIMIENTO DE OBLIGACIONES LEGALES cuando corresponda.

Con quién compartimos datos

Solo con proveedores que nos prestan un servicio, bajo contrato y siguiendo nuestras instrucciones:

MICROSOFT AZURE (servicios de voz) — transcribe y puntúa el audio, y genera las voces sintéticas.

OPENAI — redacta preguntas y revisa el contenido de las respuestas. Se le envía texto, no audio.

SUPABASE — base de datos y almacenamiento privado de los archivos.

VERCEL — alojamiento de la aplicación.

RESEND — envío de correos transaccionales.

HUBSPOT — CRM, solo para datos comerciales de las instituciones, no para datos de alumnos.

META PLATFORMS (WhatsApp Business Platform) — entrega de los mensajes, únicamente si has dado tu consentimiento.

HEYGEN y TAVUS — solo si tu centro usa el tutor con avatar en vídeo; reciben el audio del tutor y la señal necesaria para animar la cara.

STRIPE — cobro de las suscripciones individuales. Stripe recibe tu correo y los datos de pago; nosotros nunca vemos ni guardamos el número completo de tu tarjeta.

POSTHOG (servidores en la Unión Europea) — medición de uso, solo si has pulsado "Permitir" en el aviso de analítica.

También podemos comunicar datos si una obligación legal nos lo exige.

Transferencias internacionales

VOXEO se opera desde Estados Unidos y la mayoría de sus proveedores están allí, de modo que los datos de alumnos europeos y latinoamericanos se transfieren a Estados Unidos para poder prestar el servicio.

Desde el Espacio Económico Europeo, la transferencia se ampara en las Cláusulas Contractuales Tipo de la Comisión Europea o en el EU-U.S. Data Privacy Framework, según el proveedor.

Desde América Latina, la transferencia se ampara en el consentimiento y en las cláusulas contractuales que exige la legislación de cada país —entre otras, la LGPD en Brasil, la Ley 1581 en Colombia, la Ley 25.326 en Argentina y la Ley 29733 en Perú—, y los datos reciben allí las mismas protecciones descritas en esta política.

Cuánto tiempo los guardamos

DEFENSAS ORALES Y ESCRITAS, incluido su audio: 180 días desde la sesión, y después se eliminan automáticamente.

RESULTADOS DE EVALUACIÓN Y PLANES DE MEJORA: mientras tu centro mantenga la relación contigo, más el plazo que le exija su propia normativa. Es la institución quien decide este periodo.

CONSENTIMIENTOS DE WHATSAPP Y SU HISTORIAL: se conservan mientras el canal esté activo y después el tiempo necesario para poder demostrar que el consentimiento existió y cuándo se retiró.

REGISTROS TÉCNICOS: periodos cortos, habitualmente inferiores a 90 días.

Tus derechos

Puedes solicitar acceso a tus datos, su rectificación, su supresión, la limitación u oposición al tratamiento, y la portabilidad. También puedes retirar tu consentimiento cuando el tratamiento se base en él.

Estos derechos te los damos vivas donde vivas. Debajo se nombra la ley que te ampara según tu país, pero el trato es el mismo en todos los casos.

AMÉRICA LATINA: Brasil (LGPD, Ley 13.709), México (LFPDPPP), Argentina (Ley 25.326), Colombia (Ley 1581 de 2012), Chile (Ley 19.628 y Ley 21.719), Perú (Ley 29733), Ecuador (LOPDP), Uruguay (Ley 18.331) y las leyes equivalentes del resto de la región.

ESTADOS UNIDOS Y CANADÁ: la Colorado Privacy Act, donde está registrada la empresa, y las leyes estatales equivalentes de California, Virginia, Connecticut, Utah y las demás que las han seguido; en Canadá, la PIPEDA. Todas ellas giran en torno a la venta de datos y la publicidad dirigida: VOXEO no hace ninguna de las dos cosas.

EUROPA: el RGPD y, en el Reino Unido, el UK GDPR.

DÓNDE RECLAMAR si crees que no hemos atendido bien tu solicitud: ante la autoridad de protección de datos de tu propio país —por ejemplo la AEPD en España (www.aepd.es), la ANPD en Brasil, la SIC en Colombia, la AAIP en Argentina o el Privacy Commissioner en Canadá—, o ante la Fiscalía General del Estado de Colorado si resides en Estados Unidos. Alumnos que se preparan por su cuenta: prueba gratuita, plan de estudio y suscripciones

Además de a través de una institución, cualquier persona puede usar VOXEO para prepararse para el TOEFL, el TOEIC y, cuando esté disponible, los exámenes de Cambridge. En ese caso VOXEO es el responsable del tratamiento.

PRUEBA GRATUITA DE SPEAKING: grabas una respuesta de hasta 60 segundos y nos das tu correo para recibir el resultado. Guardamos la grabación, la transcripción, el nivel estimado, el examen elegido, el idioma de la página y, si llegaste desde una red social o un anuncio, de cuál (los parámetros de la URL). No hace falta crear una cuenta.

La grabación de la prueba gratuita se elimina a los 30 días, salvo que crees una cuenta y la guardes en tu historial. Con tu correo te enviamos el resultado y una práctica diaria; cada correo lleva un enlace para darte de baja, y al darte de baja dejamos de escribirte.

PLAN DE ESTUDIO: si nos das la fecha de tu examen, el examen y tu nivel aproximado, te enviamos un plan semana a semana y un recordatorio cada lunes hasta esa fecha. Puedes darte de baja en cualquier correo.

SUSCRIPCIONES: si contratas un plan de pago, Stripe procesa el cobro. Nosotros guardamos qué plan tienes, desde cuándo y hasta cuándo, y los cuatro últimos dígitos de la tarjeta que Stripe nos comunica para que puedas identificarla. Tu historial de práctica y tus resultados se conservan mientras tengas cuenta y se eliminan cuando la cierras, salvo lo que la ley nos obligue a conservar (por ejemplo, las facturas).

Cookies y medición de uso

VOXEO usa las cookies imprescindibles para funcionar: la de sesión cuando inicias sesión, la que recuerda tu idioma y la que recuerda tu elección sobre la analítica. Estas no requieren consentimiento.

La medición de uso (visitas, clics, actividad y, en las páginas públicas, repeticiones de sesión con el contenido oculto) solo se activa si pulsas "Permitir" en el aviso que aparece al entrar. Si pulsas "Rechazar", no se envía nada. Puedes cambiar tu elección en cualquier momento con el botón "Privacidad" de la esquina inferior de la página. La herramienta es PostHog, con servidores en la Unión Europea.

El sitio dirigido a academias (schools.voxeo.app) carga además Google Tag Manager y el rastreador de visitantes de Apollo para medir de dónde llegan las visitas comerciales. Los sitios para alumnos y la aplicación no los cargan.

Menores de edad

VOXEO se vende a instituciones educativas, que pueden usarlo con menores. En ese caso corresponde a la institución obtener el consentimiento de quien ejerza la patria potestad o tutela y comunicarles esta política. VOXEO no ofrece registro directo a menores.

Seguridad

El audio y los documentos se guardan en almacenamiento privado, nunca público, y solo se sirven mediante enlaces firmados que caducan. El acceso está separado por cliente. Las credenciales de acceso se almacenan cifradas.

Ningún sistema es infalible. Si se produjera una brecha que afecte a tus derechos, se notificará conforme a la normativa aplicable.

Cambios

Última actualización: 2026-09-29. Si cambiamos algo relevante, actualizaremos esta fecha y, cuando el cambio lo requiera, avisaremos a las instituciones clientes.

Who we are, and in what capacity

VOXEO is operated from the United States and offered to students across the Americas and Europe. That means no single law governs it: depending on where you live, the European General Data Protection Regulation, Brazil’s LGPD, your own country’s data protection law in Latin America, Canada’s PIPEDA and US state laws all apply.

We do not apply a different standard of protection depending on your country. We give every student the same rights — access, correction, deletion, portability and objection — wherever they live, because running several tiers would be worse for you and more fragile for us.

In most cases VOXEO acts as a DATA PROCESSOR on behalf of the academy or institution that enrolled you: that institution decides what is assessed and who takes part, and is the controller. VOXEO processes data on its instructions. Where someone buys VOXEO directly, with no institution involved, VOXEO is the controller.

What data we handle

STAFF AT AN INSTITUTION: name, email address, role, and interface language.

STUDENTS AND CANDIDATES: name, email address, the language being studied and its level; the answers given in assessments and practice; the resulting CEFR level and the improvement plans derived from it.

VOICE RECORDINGS AND TRANSCRIPTS: when you speak in an assessment, a pronunciation exercise, an interview or an oral defense, your audio is recorded, transcribed, and automatically scored for pronunciation, fluency and prosody. Audio is held in private storage and played back only through short-lived signed links.

HOW A WRITTEN ANSWER WAS COMPOSED: in written defenses we record when the first character appeared, how the text accumulated, how many corrections were made, and every paste the form refused. We do NOT store your keystrokes or the drafts you deleted — only the shape of how the text arrived. You are told this on the screen itself, before you write.

UPLOADED DOCUMENTS: submitted work, hand-marked exams and photographs of pages, together with the text extracted from them.

WHATSAPP, IF YOU OPT IN: your phone number, the record of your consent and its withdrawal, and the log of messages sent and their delivery status.

TECHNICAL DATA: the ordinary logs of a web service (IP address, browser type, errors), used to run and protect it.

What we do NOT do

We do not use your accent, your dialect, or any protected characteristic as a measurement signal. Every comparison is to your own previous sessions, never to a population norm or to other students.

We do not detect misconduct or plagiarism, and we run no AI-text detector. The platform measures how an answer was produced and shows that to a teacher; the conclusion is theirs.

We do not make automated decisions producing legal or similarly significant effects about you. No grade, no pass, and no accusation is decided by the platform.

We do not sell your personal data, and we do not share it with third parties for advertising.

We do not use your recordings or your writing to train our own or anyone else’s AI models.

Why we handle it

PERFORMANCE OF A CONTRACT with the institution that enrolled you, or with you if you bought directly: this is what allows assessment, plan generation and results.

LEGITIMATE INTERESTS in running, securing and improving the service, and in preventing abuse.

CONSENT for WhatsApp messages. It is specific, recorded with a timestamp, and you can withdraw it at any time by replying BAJA to any message. Withdrawing it does not affect the rest of your use of the platform.

LEGAL OBLIGATIONS where they apply.

Who we share data with

Only with providers who perform a service for us, under contract and on our instructions:

MICROSOFT AZURE (Speech services) — transcribes and scores audio, and generates synthetic speech.

OPENAI — drafts questions and reviews the content of answers. It receives text, not audio.

SUPABASE — database and private file storage.

VERCEL — application hosting.

RESEND — transactional email.

HUBSPOT — CRM, for institutional commercial contacts only, not student data.

META PLATFORMS (WhatsApp Business Platform) — message delivery, only where you have consented.

HEYGEN and TAVUS — only if your institution uses the video avatar tutor; they receive the tutor’s audio and the signal needed to animate a face.

STRIPE — billing for individual subscriptions. Stripe receives your email and payment details; we never see or store your full card number.

POSTHOG (servers in the European Union) — usage measurement, only if you pressed "Allow" on the analytics notice.

We may also disclose data where a legal obligation requires it.

International transfers

VOXEO is operated from the United States and most of its providers are there, so the data of European and Latin American students is transferred to the United States in order to deliver the service.

From the European Economic Area, the transfer relies on the European Commission’s Standard Contractual Clauses or on the EU-U.S. Data Privacy Framework, depending on the provider.

From Latin America, the transfer relies on consent and on the contractual clauses each country’s law requires — among others Brazil’s LGPD, Colombia’s Law 1581, Argentina’s Law 25.326 and Peru’s Law 29733 — and the data receives the same protections described in this policy once it arrives.

You can ask us for a copy of the safeguards that apply in your case.

How long we keep it

ORAL AND WRITTEN DEFENSES, including their audio: 180 days from the session, then automatically deleted.

ASSESSMENT RESULTS AND IMPROVEMENT PLANS: for as long as your institution maintains its relationship with you, plus any period its own rules require. The institution decides this period.

WHATSAPP CONSENT AND ITS HISTORY: kept while the channel is active, and afterwards for as long as needed to evidence that consent existed and when it was withdrawn.

TECHNICAL LOGS: short periods, usually under 90 days.

Your rights

You may request access to your data, its correction, its deletion, restriction of or objection to processing, and portability. You may also withdraw consent where processing relies on it.

Write to thevoxeoapp@gmail.com. Where VOXEO acts as a processor for your institution, we will pass your request to them and tell you we have done so.

You get these rights wherever you live. The law that backs them is named below by region, but the treatment is the same in every case.

LATIN AMERICA: Brazil (LGPD, Law 13.709), Mexico (LFPDPPP), Argentina (Law 25.326), Colombia (Law 1581 of 2012), Chile (Law 19.628 and Law 21.719), Peru (Law 29733), Ecuador (LOPDP), Uruguay (Law 18.331), and the equivalent laws across the rest of the region.

WHERE TO COMPLAIN if you believe your request was not handled properly: to the data protection authority of your own country — for example the AEPD in Spain (www.aepd.es), the ANPD in Brazil, the SIC in Colombia, the AAIP in Argentina, or the Privacy Commissioner in Canada — or to the Colorado Attorney General if you are in the United States. If you do not know which applies to you, write to us and we will tell you.

Learners preparing on their own: free check, study plan and subscriptions

Besides through an institution, anyone can use VOXEO to prepare for TOEFL, TOEIC and, when available, the Cambridge exams. In that case VOXEO is the data controller.

FREE SPEAKING CHECK: you record an answer of up to 60 seconds and give us your email to receive the result. We keep the recording, the transcript, the estimated level, the exam you chose, the page language and, if you arrived from a social network or an ad, which one (the URL parameters). No account is needed.

The free-check recording is deleted after 30 days, unless you create an account and save it to your history. We use your email to send the result and one practice prompt a day; every email carries an unsubscribe link, and once you unsubscribe we stop writing.

STUDY PLAN: if you give us your exam date, the exam and your approximate level, we send a week-by-week plan and a reminder every Monday until that date. You can unsubscribe from any email.

SUBSCRIPTIONS: if you buy a paid plan, Stripe processes the payment. We keep which plan you have, since when and until when, and the last four digits of the card that Stripe reports to us so you can recognise it. Your practice history and results are kept while you have an account and deleted when you close it, except what the law requires us to keep (invoices, for example).

Cookies and usage measurement

VOXEO uses the cookies it needs to work: the session cookie when you sign in, the one that remembers your language, and the one that remembers your analytics choice. These do not require consent.

Usage measurement (visits, clicks, activity and, on public pages, session replays with content masked) is only switched on if you press "Allow" on the notice shown when you arrive. If you press "Decline", nothing is sent. You can change your choice at any time with the "Privacy" button in the bottom corner of the page. The tool is PostHog, with servers in the European Union.

The site aimed at academies (schools.voxeo.app) also loads Google Tag Manager and the Apollo visitor tracker to measure where sales visits come from. The learner site and the application do not load them.

Children

VOXEO is sold to educational institutions, which may use it with minors. Where they do, it is for the institution to obtain consent from a parent or guardian and to make this policy available to them. VOXEO does not offer direct sign-up to minors.

Security

Audio and documents are held in private storage, never public, and served only through signed links that expire. Access is separated by customer. Credentials are stored encrypted.

No system is perfect. If a breach occurs that affects your rights, it will be notified as the applicable law requires.

Changes

Last updated: 2026-09-29. If we change anything material we will update this date and, where the change requires it, notify our institutional customers.
